Welcome to Velox! This is the most important first step in setting up your Velox installation. 


Note: This setup is for Velox licenses or extensions already provisioned for your account. If you are looking to add a User or order an additional Velox license (extension), please reach out to you Account Manager by emailing support@myvelox.com.


To set up your Velox phone users, 


1. Log in to your Velox Client Dashboard (www.myvelox.com) using your Admin credentials.


2. Select “Users” from the sidebar.  


3. This opens the Users page. This is where user or seat information is managed.


4. If you are accessing the Users page for the first time, this is the default view you will see.


4.1 A list of your Velox users with the default information on display. Hovering over the question mark (?) icon on each column will show the following definitions.

       

  • Extension - An extension is an internal phone number linked to a specific phone or device. For example, your extension number may be 2000. These extension numbers were provisioned by Velox to your devices per agreement in the provisioning form or user matrix during the Sales process.
  • Email Address - The user's email address to which voice mail will be directed. Voice mails are sent as a sound file to the extension or user's email address. If the email is not specified, the caller will not be able to leave voicemail even if the custom voicemail message plays.

  • Caller Name - The name that will appear on the phone display on internal calls. Usually, this is the user's name.

  • Outbound Caller Number - The number that will be displayed as caller ID on outbound calls. Usually, this will be the phone number that callers dial to reach your company (main line) or this person (if he has a direct line).

  • Internal Recording - Enable or disable call recording on internal calls within your company.

  • External Recording - Enable or disable call recording on external calls

  • Allow International Calls - Enable or disable this user from making International calls.

  • Softphone or Mobile App -  If subscribed to a desktop softphone or smartphone app, clicking this button will display your log-in credentials for the apps

  • Edit - Click this button to edit or change Extension or User details.

  • Status - Shows whether this extension or device is currently online or offline. Extension must be online in order to make or receive calls. 

  • Model - Shows the device or phone model if there is one associated with this extension.

    IMPORTANT! Users must be set up in order to maximise your Velox installation. 


    4.2 You may adjust column visibility to include other Advanced User settings in your summary page using the Column Visibility button. 



Clicking the "Column visibility" button shows other User Settings that can be included in your User Summary view. The number of visible information is limited by the width of the browser, so you may need to hide some columns to view others. Just make visible the information that you need to see on a regular basis.

                    

             

  • Company - The company that the device or extension is attached to. Normally, this is the name of your company or the domain with which you registered with Velox.
  • Device ID - The physical phone/device identification number or the MAC ADDRESS or model number. This is usually found on a sticker label at the back or underneath your phone or device.

  • Call Timeout - The time in seconds to ring before the call goes to voicemail. You may change this call timeout as you wish.

  • CC_ID - Internal to Velox. You may ignore this. 

  • Cost Center - Admin defined cost center for accounting or cost allocation purposes.

  


4.3 You may save and download the User Details information for reference as a file. Clicking on the button creates a file in the chosen format and saves it in your computer's Downloads folder. If you used the Search field, only the filtered results on your User Details display panel will be saved to file and downloaded. 



4.4 You also have the option to use the Search field on the top right corner of the Users display panel. This Search field returns matching results from any and all of the columns.

                      

                                              



5. You may now start editing each User by clicking the Edit button.  



5.1 Clicking on the Edit button, opens the Edit User page. We normally only use the Basic Settings tab when first setting up your Velox users.
